Club Terms & Conditions
1. Club Rules & Member Conduct
a) Members must respect club rules, equipment, staff, and the personal space of others at all times.
b) All members and guests are expected to behave in a polite and appropriate manner within the club.
c) Foul or abusive language, aggressive behaviour, or harassment towards staff, members, or guests will not be tolerated.
d) The use of, possession of, or being under the influence of drugs, alcohol, or other substances is strictly prohibited on club premises.
e) Appropriate, clean exercise clothing and footwear must be worn while using facilities.
f) Members must wipe down equipment after use and return it to its proper place.
g) Children under the age of 16 must be accompanied by an adult at all times.
2. Use of Facilities
a) The swimming pool, sauna, and steam room will close 15 minutes prior to advertised closing times for cleaning.
b) All other facilities, including the gym floor, remain open until the advertised closing time.
c) All clothing and possessions must be stored either in a locker or on shelving provided within gym. Individual training accessories that we do not provide are allowed on gym floor but must be kept to a minimum (wrist straps, lifting belts etc).
d) Changing rooms are provided for standard use such as changing and showering. Any activities outside of their intended use that may impact cleanliness or the comfort of other members are discouraged.
3. Membership Access & Security
a) Members must scan their membership card or app QR code on every visit before entering the club.
b) All members must enter the club via Balance reception and be checked in upon arrival. Access via other area of the building is not permitted.
c) We have the right to ask for proof of identification if a valid membership card is not presented.
d) Memberships are personal and non-transferable. Membership cards must not be shared or lent to others.
e) Replacement membership cards will incur a fee of £2.
f) Junior members are not permitted to hold a membership card or have access to the club via our app.
4. Membership Agreement
a) This agreement begins once both parties accept the Terms & Conditions.
b) Membership starts on the agreed start date and continues subject to the applicable renewal terms.
c) Members are entitled to the rights and privileges associated with their chosen membership type.
d) Membership agreements cannot be transferred to another person.
5. Fees & Payments
5.1 Joining Fees
- a) Any one-off joining fees are payable on the start date and are non-refundable.
5.2 Membership Fees
a) Annual Memberships: Paid in full at the start date and are non-refundable under any circumstances.
b) Monthly Memberships:
1. Paid via Direct Debit on the 1st of each calendar month.
2. First payment is due from the start date, with subsequent payments collected monthly via direct debit.
3. New members will be charged a pro rata fee for the remaining days of the month, when joining part way through or after direct debit collection.
4. Membership continues on a rolling basis unless cancelled with 30 days’ written notice before the next billing cycle.
5. Payments are non-refundable unless at managers discretion.
5.3 Payment Terms
a) Members must ensure all payments are made on time via Direct Debit.
b) A £25 administration fee will be charged for any failed or returned payments.
c) If payments are overdue by more than 30 days, the debt may be referred to a third-party collection agency. All recovery costs will be charged to the member.
d) Members must promptly notify the club of any changes to personal or banking details.
e) Joint memberships carry joint and several liability, meaning all parties are responsible for outstanding payments.
6. Renewal Terms
a) Annual Memberships: Renewal fees will be communicated in advance, with 30 days provided to make payment.
b) Monthly Memberships: All memberships continue on a rolling basis unless cancelled with appropriate notice.
8. Cancellation, Freezing & Changes to Membership
a) Cancellations require 30 days’ written notice via email. All outstanding fees must be paid before cancellation is completed.
b) Early cancellation during the minimum term may be considered at management discretion in cases such as redundancy, pregnancy, relocation (over 25 miles), illness, or injury. Supporting documentation is required, and a £25 fee applies.
c) Membership Freeze:
1. Minimum 1 month, maximum 6 months.
2. £5 per month fee applies.
3. Membership freezes can only be applied for full calendar months not specific dates.
4. Must be requested in writing before 15th of prior month to freeze beginning.
5. Not permitted within the first 2 months of membership.
6. Contract length will be extended by the suspension period.
7. In the case of a freeze ending earlier than requested a pro rata payment will be charged for remaining time of desired month.
8. Request for cancellation cannot be processed whilst a members account is frozen.
d) Joint memberships will be suspended for all members if one suspension request is made.
e) If a joint membership converts to a single membership, the remaining member will pay the applicable single membership rate.
f) PLUS membership additional benefits can be applied or removed at any time in line with your monthly membership fee.
7. Class Booking & Attendance Policy
a) For all members a strike system for scheduled classes will be applied.
b) Failure to attend a booked class or cancellation within 2 hours of class start time will result in 1 strike per class being applied to member’s account.
c) After 3 strikes within a 21-day period; status restriction for class booking will be applied for next 7 days.
d) Strikes cannot be removed in any circumstances and will reset after 21 days.
8. Refer A Friend
a) All members are entitled to enter into our refer a friend scheme.
b) Requests must be via the Balance website prior or within 7 days of referred member joining.
c) The existing member will be entitled to either 1 free personal training session or a £10 Love2Shop voucher of their choosing, after the referred members first monthly direct debit has been successfully collected.
9. General Terms
d) Members must comply with all club rules and policies at all times.
e) The club reserves the right to amend rules, services, and facilities at any time. Where possible, notice will be provided, particularly for health and safety updates.
f) Membership fees may be changed with 30 days’ written notice.
g) Failure by the club to enforce any term does not waive the right to enforce it in the future.
h) The club may transfer its rights and obligations under this agreement to a third party with notice to members.
i) The club may terminate membership immediately if a member breaches these terms. Outstanding fees will remain payable.
j) This agreement is governed by English law.
